Getting your property ready to let

Whether you are  in between tenants or letting the property for the first time, we recommend the following:

  • Property has been cleaned in detail, including gardens and lawn maintenance
  • Make any repairs necessary – common complaints from tenants include: missing fly screen wires or broken fly wire screens, missing door and drawer knob handles, leaking cisterns and pipe seals, leaking taps, unreachable light globes that are in need of replacement, instruction manuals for appliances left in property if available.
  • Landlord protection insurance
  • Contact council to arrange to have Rates notices sent to our office for payment
  • If property is managed by Strata, a copy of the By-laws given to the Agent
  • Refuse bins installed at property
  • All locks are fitted & keys are available for each lock
  • Two complete sets to be provided to Agent
  • Pool compliance certificates provided to our office
  • Smoke detectors to be installed and tested
  • Arrange Water Efficiency Testing in order for us to charge the tenant water consumption

Tenancy Management

Detailed Ingoing Condition Report

An Ingoing Condition Report is completed by your property manager along with photos prior to tenant moving in; an essential way of ensuring that the property is protected against a tenant vacating and leaving the premises unclean or damaged.

Bond 

The Residential Tenancies Authority holds all tenant bonds. On completion of a tenancy, if this satisfies our standards and all monies are paid up, the Bond be refunded.

Rental Payments

All rental monies is to be paid in advanced in accordance with the tenancy agreement. Our office has a strict arrears  policy that the tenants sign in conjunction with their Lease Agreement. If the tenant becomes 2 days in arrears, the tenant will be sent a reminder SMS. Once they reach 5 days in arrears, they are sent a letter. If payment is not received within 14 days, the tenant will be sent a Termination Notice. The tenant then has 14 days to all monies owing to date or vacate the premises.

Monthly Disbursements & Statements

Trust account funds are electronically transferred into the bank of your choice, either weekly or monthly, depending on your needs. Any expenses i.e. Council Rates, Maintenance, Body Corporate etc. can be paid directly from the Trust Account if required. A detailed statement outlining rent collected, authorised expenditure and Management Fees is sent via post or email at the end of each month. Additionally, an End of Financial Year Statement is forwarded for taxation purposes.

Routine Inspections

Regular routine inspections are carried out and on completion, a report is sent to you including photographs. If you wish to inspect your investment property throughout the year, please advise us in advance so we can arrange a suitable time. Please be aware that we are required to give the tenants 7 days notice in accordance with the Residential Tenancies Act.

Lease Renewals & Rent Reviews

As the tenants lease draws near to close, we will contact you for instructions for lease renewals and we will also take the opportunity to review the rent for your investment property and adjust accordingly. Prior to your property becoming vacant,  we endeavour to find a replacement tenant to ensure a smooth transition.

Maintenance 

We contact you prior to any maintenance being carried out on your property. The only exception to this is in the case of any emergencies. We always use professional and licensed trades people that hold all of the necessary qualifications, insurances and knowledge.

Water Charging

Landlords can pass on full water usage charges to tenants on properties that are individually metered and water compliant. A Water compliancy certificate must be issued by a plumber and the Tenancy Agreement must state that the tenant will be charged for water consumption. If you do not have a recent certificate, we can arrange a plumber to inspect the fittings and flow rates and make any changes to meet requirements.

We invoice the tenant on your behalf, however a copy of the Water Account must be forwarded or supplied to our office if not directly sent by the Shoalhaven City Council. The Act also states that we have receive within 3 months of the issue date or we cannot legally charge the tenant.
